Papers submitted and accepted as accepted Oral Presentations or Posters are required to be delivered live at the Conference.

Only the presenting author is listed on the program and will display as per your original submission. If the author/s listed on the program are not the presenting author/s, or you wish to withdraw your paper and presentation, please advise the Conference Technical Manager at your earliest convenience by emailing afpa2025conference@villagegate.com.au

Papers are to be no more than 10 pages long (including images).

The conference paper template must be used and is available to download HERE

The main contact/author for the submission (created at time of submitting abstract) will be able to login to their account and submit the full paper. This author will then act as the main point of contact for the submission with event organisers. Please contact afpa2025conference@villagegate.com.au should you have any issues accessing your portal.

Once you enter the online submission portal, please follow the prompts to submit your paper. Upon successful submission, a confirmation email will be sent to the Submitting Author. If you have not received a confirmation email, please check that your submission is not left in draft and is fully submitted by logging back into the portal and checking on the Edit/View Submissions page.

When submitting your paper via the portal, the following information will be required:

1. Title

2. The names and affiliations of all authors, including presenting author

3. Upload submission as a word document following the template as provided

4. Once your paper is submitted, you can start preparing your presentation or poster

The Conference Technical Committee will peer review all submitted papers. Submissions will be reviewed by the conference technical committee, and the decision to accept or reject is final.

The review process puts responsibility on the author to carefully consider the feedback and may require amendments or further proof of their conclusions. Reviewed papers must follow the layout and format of the supplied Paper Template.

Papers will be reviewed under the general criteria:

• Originality and value of contribution to the existing knowledge base

• Clarity of writing and logical paper structure

• Appropriate methodology and presentation of data/results

• Objectivity - does not unduly promote a product or company

You can save your submission as a draft and return to edit it at a later point. It is important to note that once it has been submitted, it cannot be edited. Ensure that your submission is not left in draft as it will not be reviewed.

Any significant changes to the content of your paper presentation after acceptance must be communicated to the conference organisers in advance. Depending on the change, your updated submission may need to be reviewed.

All submitted papers will be published in the conference proceedings following the conference. Abstracts and extended abstracts will be made available to delegates before the conference through the conference app.

By submitting a paper, poster and/or presentation, the author confers to the Australian flexible Pavement Association (AfPA) the right to use the final paper, poster and presentation in the conference proceedings, on the AfPA website, the conference APP, at the event and for conference marketing.The author is required to embargo release of the final conference paper, poster and presentation until it is released at the conference.AfPA will retain no further right over the use of the author’s paper and contents which, at all times, remains the intellectual property of the author.

All submissions must be original work, and any instances of plagiarism may result in rejection or withdrawal of acceptance.

The conference organisers are not responsible for any errors or omissions in submitted abstracts or papers. The Conference Managers will not be held responsible for submissions not received via the website or for submission errors caused by not completing your submission, internet service outages, hardware or software delays, power outages or unforeseen events.
